As per the policy adopted for E - Governance, the software / tools were utilized to streamline the process of data entry and maintenance of the record for the academic year 2018-19 in following areas of operations.
1. Administration:
CMS by VL software is used to maintaining record of student's admitted in academic year 2018-2019. The data includes information such as address, contact number, academic record, etc
2. Examination
The examination cell prepared the result using the excel. The data was entered based on the marksheets provided by the teaching staff for each subject of the semester. A consolidated result was prepared using the software, it was reviewed by the examination in-charge before publishing to the students.
3, Library.
The library has adopted the SOUL- ILMS, Library Software Repository, which helped the staff to search for physical and digital resources such as books, eBooks, journal copies etc.
4. Finance and Accounting.
The financial records for the academic and financial year were maintained using excel and YONO SBI as well as SBI Collect software by the administrative staff. The salary slips and other essential financial information was provided to the staff using e - governance tools.
5. ICT Tools.
All classrooms are ICT enabled and faculties were encouraged to use ICT tools for effective teaching - learning process.

. E-Governance initiatives:
- Consultancy and Services: The ICT Committee took the initiatives of handling all matters relating to ICT Consultancy and Services. Regular updates and Upgrades of ICT Assets were taken care of by the ICT Committee.
- Circulars and Dissemination of information: All information relating to Academic, Conceptual information, Procedural information etc are circulated using ICT system such as Whatsapp, Website, Bulk SMS and Emails
- Website: The website act as an information center which reflect about the college, all its activities, important notices, courses offered, etc. For this purpose, a separate service provider/web designer is appointed by the college.
- ICT has been extensively used in the Administrative work.
- WhatsApp Group helps to provide the brief notices of any event to be happened on college. WhatsApp Groups are also used for awareness and of smooth functioning of the same.
- Administrative Software: The organization implemented an administrative software system that enabled the efficient management of administrative processes. The software was designed to be user-friendly and accessible to all authorized personnel, and it facilitated the smooth processing of administrative tasks.

The year 2020 was a challenging one with the onset of the pandemic, the e-governance efforts of Govt Hrangbana College proved a boon to manage this phase. This report provides an overview of the e-governance initiatives implemented by the institution during the fiscal year 2020-2021. The year was marked by the COVID-19 pandemic, which necessitated a shift towards online education and remote learning. The e-governance initiatives implemented during the year aimed at facilitating the transition to online education and ensuring the continued provision of education services to students.
1. E-Governance initiatives:
- Moodle LMS was introduced to the faculties and students and was purchase/rent from NIELIT Aizawl with a payment of Rs 2,00,000 for one semester. The ICT committee felt the need of operating its own Moodle by purchasing server in order to save money. Mr Laldingliana Sailo and Mr Lalropianga were entrusted to take necessary action to implement Moodle LMS.
GHBC operate its own Moodle starting from January 2021.
- Virtual meeting platforms like Zoom Meetings and Google Meet were used extensively by the staff to conduct classes, seminars, online industrial visits, national and international webinars and conferences as well as exams.
- Online Tests and Assignments: The institution conducted online tests and assignments, which enabled students to continue their learning and assessment remotely. Question papers were uploaded to Moodle and students could upload their responses using the same portal. Evaluation was carried out by staff after downloading the answer scripts from the Moodle portal.
- E-Learning Materials: The institution shared e-learning materials using various platforms to help students continue their learning during the pandemic. The e-learning materials were designed to be accessible to all students, and they facilitated the efficient dissemination of educational content.

Govt Hrangbana College, Aizawl has always believed in staying up to date and ensuring that the college and its processes are technically superior. E-governance is one of the ways to ensure that the college and its policies are transparent, accessible and up to date technically.
The e-governance initiatives were aimed at enhancing the efficiency, transparency, and accessibility of services provided by the College to its stakeholders.
E-Governance Initiatives:
1. Online Admission System: The College implemented an online admission system that enabled prospective students to apply for admission online. The system was designed to be user-friendly and accessible to all applicants, and it facilitated the smooth processing of admission applications and fees.
This software was developed by HL Solutions and uses Cashfree Payment gateway.
2. Online Learning Management System called Moodle was used in the college. Attendance, assignments, class tests etc were managed using this new application. All staff members are given User IDs and passwords to access the system and the same applies to students as well.
3. Online Library System(SOUL): The College implemented an online library system that enabled Librarian and Staff to access the library's resources online. The system was designed to be user-friendly and accessible to the faculties, and it facilitated the efficient management of library resources.
4. Hardware and Software Infrastructure: The College ensured that its hardware and software infrastructure was regularly updated and maintained to ensure its efficient functioning. The College established standard operating procedures (SOPs) for the maintenance and repair of hardware and software infrastructure, and it ensured that all authorized personnel had access to the necessary hardware and software to perform their duties efficiently.

1. E-Waste Management: The College implemented a comprehensive e-waste management system that ensured the safe disposal of electronic waste generated by the College's operations. The system complied with all relevant laws and regulations, and it facilitated the efficient management of e-waste.
2. College Management System (hbc.colles.in)
The college authorities can implement full supervision of all service units in the office through the ERP software.
3. The Administration communicates with Governing Body members as well as the teaching and non-teaching staff through email .
4. All important administrative information including notices is regularly published on the website.
5. Fully automated, wireless office with 24x7 internet facility
6. To achieve the target of Paperless, the college is using Google facilities like-
Google sheet : For data collection from Various Departments
Google Docs: To prepare notices and activity reports.
Google Forms: To prepare Feedback forms and get online feedbacks of Students, Parents.
7. The college campus is equipped with CCTV Cameras installed at various places of need.
